Upgrading to Microsoft® Office 365
Should You Upgrade to Office 365?
Many of our clients are upgrading to Microsoft’s “cloud based” Office 365. If your business is considering making the switch, this article discusses some of the key features and benefits of this newest version of Microsoft® Office.
To begin with, Microsoft® Office 365 is “cloud based”. This means that the Office software you use will now be running in the Microsoft data center, rather than on your internal computer or server. You and your workforce connect to the Internet to access the software from ANY device that is Internet enabled.
Microsoft® Office 365 Features and Benefit:
No More Microsoft® Office Installation, Maintenance & Upgrades
With Microsoft® Office 365 your staff can continue to use the same software that it has been using for years – but the “burden” of maintenance, repair and upgrading is shifted onto Microsoft. This alone can save your staff countless hours. Microsoft 365 simply “runs” in the cloud – you don’t have to install it on your devices – and any issues that arise are handled by Microsoft – not your employees.
Access Files from Anywhere with Microsoft® Office 365
The biggest advantage to accessing Office over the Internet is that you and your staff can run Office on ANY Internet enabled device: desktop, laptop, tablet, or phone. You are no longer “tied” to a specific device. Work from home; work from a client’s office; or, work from a beach in Bermuda! This is because documents live in the Cloud with Microsoft Office 365 – and can be accessed from anywhere, anytime.
With SharePoint Online (included in Office 365) documents live in the cloud, so you do not have to save them on a flash drive to take them with you. Wherever you are – on whatever device – you can access your documents.
Security permissions can be set up to allow anyone in the organization, regardless of geographic location, to view the document. This allows company-wide sharing of information without needing to email files and documents.
And, an added benefit of accessing centrally located documents, is that everyone always sees the most up-to-date version of the document. Unlike an emailed document – if you make changes and save it in the cloud, everyone with access to the document sees the changes! You can even collaborate on the document in real time, by simply using your web browser.
Robust Data Security with Microsoft® Office 365
Microsoft resources are behind the cloud security of your saved documents. This is superior to the “security” that does (or does not!) exist on your employee’s laptops and desktops! If an employee’s laptop is lost or stolen, your data doesn’t go with it. Your documents are safe in the cloud – no matter what happens to your hardware!
Security can be set as strict or as lenient as desired. Everyone in your organization – or only a select group of individuals – can be given access to a document. SharePoint also takes care of “versioning” and enables you to check out a document to edit so that nobody else can edit it at the same time.
